The Application Platform is a powerful solution designed to centralise and streamline EdTech management within organisations. With the growing number of EdTech tools, it can be difficult for staff to track available resources, assess their impact on teaching and learning, and access support materials.

The Platform addresses these challenges, empowering organisations to audit, manage, and optimise their EdTech ecosystem. It consists of three core features:

More than just a directory, the Application Platform enables organisations to make informed technology choices, support compliance, and create a safer online learning environment.

Available as a standalone tool or integrated with 9ine’s Vendor Platform, the Application Library helps maintain an organised, accessible repository of educational applications. It supports a holistic approach to EdTech management, enabling organisations to:

  • Audit EdTech Solutions: Ensure each application’s unique benefits align with organisation goals, reduce feature duplication, and streamline costs by auditing before they enter the library.
  • Identify Technology Impact: Label applications that use Artificial Intelligence (AI) and identify associated safeguarding risks to promote responsible and safe usage.
  • Filter for Precision: Search by curriculum topic, age restriction, and other critical filters, making it easy for faculty to find age-appropriate and subject-relevant EdTech tools.
  • Encourage Peer Reviews: Faculty members can review and rate applications, sharing insights on the impact of each tool in the classroom to aid colleagues in making informed decisions.
  • Integrate with Compliance: Integrated with 9ine’s Vendor Management and compliance features, Application Library provides access to privacy-vetted contracts, information security policies, and safeguarding checks. Organisations can leverage compliance options, linking applications to Vendor Assessment (VA) & Processing Operation Assessment (POA) for a comprehensive approach to data protection.

With these features, organisations can enhance teaching, improve EdTech oversight, and protect student well-being.

Included in the Application Platform licence (or available as a standalone feature), Application Requests simplifies the process of requesting, reviewing, and approving new applications.

Application Directory provides a pre-built database of application templates maintained by 9ine. This feature helps Application Library Administrators save time when adding new applications to their organisation’s library.

An overview of Application Library

Upon purchasing the Application Platform, organisations can assign tailored access levels through the User Management feature. The two available roles are:

  • Application Library Administrator: Grants permissions to publish, edit, and delete items in the Application Library.
  • Authorised User: Provides viewing and interaction permissions without editing or publishing rights.

Users with administrator permissions will see the New Application button, allowing them to add new resources to the library. 

They can also Bulk Upload applications, streamlining the process of adding multiple applications at once to save time and reduce manual effort. The bulk upload feature allows administrators to download a template that includes existing commonly used EdTech applications. This template can be updated with new entries and uploaded back into the Platform. The steps include:

  • Download Template: On downloading, the template file contains tabs for new entries, existing applications, and a glossary of fields for clarity.
  • Complete Template: Populate required fields, ensuring mandatory fields like Title and Approval Status are filled.
  • Image Uploader: Add images for each application, ensuring file names match those in the template for a successful upload.
  • Finish Upload: Complete the upload to receive an in-Platform notification and email confirmation.

Administrators can create a new application and outline its approval status as pilot, approved, coming soon, restricted, or rejected. If integrated with 9ine’s Privacy or Vendor Platforms, administrators can link applications to related vendors and processing operation assessments (POAs), which enhances data consistency.

When publishing a new application, administrators can document essential details such as:

  • Age Restrictions: Select from predefined age ranges (e.g., 4+, 18+, staff).
  • Artificial Intelligence (AI) Usage: Label applications using AI and categorise potential risks using predefined options or custom entries.
  • Safeguarding Guidance: Add notes to highlight safe and responsible use.
  • Application Relevance: Specify the subject, department, language, or applicable school site.

By involving the IT team, organisations ensure each application complies with organisational policies, covering:

  • Operating System: Specify compatibility (e.g., mobile, desktop, browser).
  • Recommended Browser: Identify the optimal browser.
  • Login Method: Confirm authentication practices, supporting a secure user experience.

The Application Library can display additional critical information such as internal standards, guidelines, best practices, videos, and intended audience information. 

In addition, administrative fields such as managed by, year, next review date, and internal notes help ensure the library remains up-to-date, governed, and aligned with the organisation’s standards.

To streamline operational workflows, an optional Request button can be activated, allowing users to request access to specific applications. This feature directs requests to designated recipients, expediting the resource approval process.

The Application Library’s rating and review feature provides valuable insights into each tool’s effectiveness and popularity. Each application displays:

  • The total review count, giving users a quick view of its popularity and overall engagement. 
  • A star rating breakdown showing the number of reviews at each rating level, allowing users to see both positive and critical feedback at a glance. 
  • An average rating is displayed next to the star icon as a numerical value out of 5, enabling users to quickly gauge overall satisfaction and quality.

An overview of Application Requests

Upon purchasing the Application Platform, organisations can assign tailored access levels through the User Management feature. The two available roles are:

  • Application Request Administrator: Grants permission to approve, reject, and delete application requests.
  • Authorised User: Provides access to submit application requests but cannot view requests made by others.

Users can submit new application requests based on apps they wish to use or that are missing from the Application Library. To begin:

  • Click New Request in the Application Library or Application Requests log. 
  • Enter the application title and click Save & Add Details. 
  • Complete the Application Request form. 
  • Once all information is complete, select Save & Request to submit the request. 

An email notification will be sent to your designated administrators, who will review and respond accordingly.

Upon submission, Application Request Administrators can access the Application Requests log in the 9ine Platform. They have the following options:

  • Edit: Modify details in the request.
  • Approve: Send an approval email to the requester.
  • Reject: Provide reasoning for rejection.
  • Delete: Remove the request from the system.

Once approved, applications can be added to the Application Library following your organisation’s process.

What if I need an application that isn’t listed in the library?

If the application you need is not listed and your organisation has enabled Application Requests, you can submit a request directly in the 9ine Platform. Your request will be sent to your Application Library Administrators for review and approval.

To submit a request:

  • Click New Request in the Application Library or Application Requests log.
  • Enter the application title and click Save & Add Details.
  • Complete the Application Request form.
  • Once all details are provided, click Save & Request to submit.
 
 

Can I edit an application request after submission?

Yes, you and your organisation's Application Request Administrators can modify request details by selecting Edit.

 
 

What happens after I submit an application request?

An email notification is sent to your organisation’s designated Application Request Administrators, who will review the request and respond accordingly. To add an Application Request Administrators, begin by granting permissions via User Management. In addition, add your preferred email address to your Organisation's Profile page. 

Application requests should be approved in line with your organisation's policy. Within the Application Platform, Application Request Administrators can:

  • Edit: Modify request details.
  • Approve: Send an approval email to the requester.
  • Reject: Provide a reason for rejection.
  • Delete: Remove the request from the system.

Once approved, the application can be added to the Application Library following your organisation’s internal process.
