Understanding the Gantt Chart

This video shows how to create a new Project Group, helping you organise and manage your governance activities more efficiently.

From the left-hand menu, click Governance, select Project Groups, then click New Project Group. You will see five tabs: Details, Checklist, Notes, Attachments and Custom Data.
In the Details tab, enter the core information. Title and Owner are mandatory; you can also set a Due Date, Description and Status.
- Note: Typing alone does not count as activity. Click Save or Cancel regularly – you get a reminder at 30 minutes and are logged out after 45 minutes of inactivity.
- The Number field sorts project groups sequentially. Use up to five digits, including decimals; text is not allowed. The number is visible to everyone in your organisation.
Assign roles: Owners, Members, Notified Users and Attachment Reviewers.
- Owners can edit and delete; other roles can edit but not delete.
- A user cannot be both Owner and Member, but you can have as many Notified Users as you need.
- If an owner's account is deactivated, you will be asked to reassign ownership the next time you click Save.
- Tip: Use Select All to add all members at once. More than two members are grouped into a single pill.
To notify someone, type @ in the Description or Notes tab and select their name. This triggers in-Platform and email notifications, unless the user has disabled them. Delete the name to remove the notified user.
Set the due date by typing it or using the calendar (click the month or year to jump). Use Clear to remove it. An expired due date shows a warning.
Choose a status: Not started, In progress, On hold, Quality assurance or Closed.
- Note: Closing a project group removes it from the active log automatically.
In the Checklist and Custom Data tabs, type an item and click Add. There is no text limit and duplicates are not allowed. You can reorder, edit, delete or mark items closed – click again to undo.
Use the Notes tab for ongoing updates. Click Add Another for more notes; each is time-stamped with your user ID, and the latest appears at the top. Edited notes are re-time-stamped and reordered.
In the Attachments tab, upload up to five files at once. Check the tooltip for file types and limits.
Click Save or Cancel (cancelling unsaved changes asks for confirmation). If you added notified users, a permission prompt appears – click OK to grant access and send notifications. The Project Group is added to the log with a unique reference ID.

An Overview of Project Groups

This video walks through creating a new Project step by step, covering details, scheduling, time and cost tracking, notes and attachments.

From the left-hand menu, go to Governance, select Projects, then click New Project. You will see eight tabs: Details, Checklist, Scheduling, Time Management, Cost, Notes, Attachments and Custom Data.
In the Details tab, enter the project title, number, description, project group, owner, members, priority and status. Title and Owner are mandatory.
- The Number field orders projects sequentially – up to five digits, including decimals. Text is not allowed.
- Use the Description field for formatted text.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. In full screen the reminder may not appear unless browser notifications are enabled. Typing does not count as activity – only Save or Cancel do.
Assign roles. Owners can edit and delete; others can only edit. A user cannot be both owner and member. If an owner's account is disabled, you will be asked to reassign ownership when saving.
- Mention users with @ in the description or notes fields. They receive Platform and email notifications when you save.
Optionally associate the project with a group to grant access to the relevant users automatically. Set the priority (Critical to Very Low) and status (Not Started to Closed).
- Note: Closed projects are removed from the log automatically.
Add items in the Checklist or Custom Data tabs. Items can be reordered, edited, deleted and marked as closed at any time.
In the Scheduling tab, enter the year, start date, end date and term/semester. Warnings appear for lapsed dates.
The Time Management tab tracks estimated against actual time spent on tasks. The Time Log section shows detailed entries by team members; to edit time, go to the specific task.
In the Cost tab, estimate and log costs for the project and its tasks. Task costs do not add to the project total, and vice versa. The total cost of the linked tasks is shown in the tab but not in the right-hand Cost Log.
- Note: All entries must use the same currency.
Use the Notes tab to store project information (with formatting); click Add Another for multiple notes, each tagged with name, date and time. Notes can be edited or deleted, and the latest appears at the top. Upload up to five files or images at a time in the Attachments tab.
Save the project to send notifications and grant permissions to added users (a warning appears if permissions change via mentions). The project is added to the log with a unique reference number.

This video shows how to create a new risk or issue, including scoring, categorising and assigning a control type so it can be tracked and reviewed.

From the left-hand menu, go to Governance, select Risks and Issues, then click New in the top right-hand corner. You will see eight tabs: Details, Checklist, Controls, KPIs, Root Cause, Notes, Attachments and Custom Data.
First, choose whether you are creating a Risk or an Issue.
In the Details tab, enter the title, description, next review date and status. Mandatory fields are Title, Owner, Category, Impact, Likelihood and Status.
- The Number field orders items sequentially – up to five digits, including decimals. Use Full Screen in the Description field for longer text.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. Typing alone does not count – only Save or Cancel do.
Assign Owner, Member, Notified User and Attachment Reviewer roles. Owners can edit and delete; others can edit but not delete. A user cannot be both Owner and Member. There is no limit on members.
Use @ mentions in Description or Notes to send in-Platform and email notifications.
Optionally link the item to a project or project group to manage access automatically. Users only see projects they have access to.
Select a category, or create a custom one using Other. You can add unlimited subcategories.
Choose a control type: Tolerate, Treat, Transfer or Terminate. Impact and Likelihood scores combine into an overall rating from Very Low to Critical.
Set the next review date (typed or with the date picker – expired dates show a warning) and the status (Open or Closed). Closed items are removed from the log.
Use Checklist, Controls, KPIs, Root Cause and Custom Data in the same way – add, reorder and close entries (no duplicates). Add notes with Add Another, upload up to five files in Attachments, then click Save (or Cancel). Click OK on the permission warning if you added notified users. The item is added to the log with a unique reference number.

An Overview of Risks and Issues

This video shows how to create a new lesson in Governance so that learning points can be recorded, assigned to the right people and followed up.

From the left-hand menu, go to Governance, select Lessons, then click New Lesson. You will see five tabs: Details, Checklist, Notes, Attachments and Custom Data.
In the Details tab, enter key information such as Title, Description, Next Review Date and Status. Title, Owner and Status are mandatory.
- The Number field orders lessons sequentially. It accepts numeric values of up to five digits, including decimals, and is visible across the organisation.
- For longer text, use the Full Screen option in the Description field.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. Typing alone does not count as activity – only actions such as Save or Cancel do.
Assign roles: Owner, Member, Notified User and Attachment Reviewer.
- Owners can edit and delete; other roles can edit but not delete.
- A user cannot be both Owner and Member. You can add multiple members, and extra users are grouped for easy viewing.
To notify someone, type @ in the Description or Notes field and select their name. Mentions trigger notifications and emails, unless the user has disabled them.
Optionally link the lesson to a Project or Project Group. Selecting a project assigns its group automatically, and permissions from these parent items are inherited.
Set a Next Review Date (type it or use the date picker; Clear removes it), choose a priority from Critical to No Selection, and set the status to Open or Closed.
- Note: Closed lessons are removed from the log automatically.
Use the Checklist and Custom Data tabs in the same way: type an item and click Add. You can reorder, edit, delete, close (strikes through the text) or reopen items. Duplicates are not allowed.
Use the Notes tab for updates – click Add Another for multiple notes; each records the user, date and time. Upload up to five files or images at once in the Attachments tab.
Click Save to create the lesson or Cancel to discard changes (unsaved changes prompt a confirmation). If you added notified users, a permission warning appears – click OK to grant access and send notifications. The lesson is added to the log with a unique reference number.
You can create tasks linked to the lesson; associated users get access automatically. The Tasks column shows the number of active tasks – click it to see tasks by status (Not Started, In Progress, On Hold, Quality Assurance, Closed).
- Tip: Closed tasks are not counted but can be viewed using filters or View All. Use your browser's Back button to return.

An Overview of Lessons

This video shows how to create a new task, including linking it to other items, scheduling it and tracking its time and cost.

From the left-hand menu, go to Governance, select Tasks, then click New Task. You will see nine tabs: Details, Checklist, Scheduling, Time Management, Cost, Link, Notes, Attachments and Custom Data.
In the Details tab, enter the Title, Description, Priority and Status. Title and Owner are mandatory.
- The Number field sequences tasks – up to five digits, including decimals, visible across the organisation; text is not allowed.
- Use Full Screen in the Description field for large inputs.
- Note: Sessions expire after 45 minutes of inactivity, with a 30-minute reminder. Typing does not count as activity – only Save or Cancel do.
Assign Owner, Member, Notified User and Attachment Reviewer roles.
- Owners can edit and delete; others can edit but not delete. A user cannot be both Owner and Member.
- There is no limit on members; use Select All if needed. Extra members are grouped into a clickable pill.
- If a user is disabled, you will be asked to reassign on save.
Type @ in Description or Notes to notify users. This triggers in-Platform and email notifications unless disabled. Delete the name to remove the mention.
Associate the task with Project Groups, Projects or other items such as Risks, Issues, ROPA, DPIAs, Lessons, Vendor Logs and Incidents – the task then appears in their logs.
- Selecting a project fills in its group automatically. Access is granted to the linked item's users, and permissions are inherited from parent projects and project groups.
Set the priority (Critical to No Selection) and status (Not Started to Closed). Closed tasks are removed from the log automatically.
In Checklist and Custom Data, add items (no limit, alphanumeric, no duplicates). Items can be reordered, edited, deleted or marked complete (struck through), and undone at any time.
In Scheduling, set Year, Start Date, Due Date and Term/Semester, by typing or using the calendar. Expired dates show a warning.
In Time Management, estimate and log time. Entries add up into the associated project (time cannot be logged at project level) and appear in the Time Log with user, date and duration. In Cost, estimate and log task costs – tasks linked to a project must use the same currency, and costs are not added to project totals.
In Link, define dependencies such as blocks, blocked by, related to and completed before/after; permissions are shared across linked tasks. Add notes with Add Another, upload up to five files in Attachments, then click Save (or Cancel). Click OK on the permission warning if you added notified users. The task is added to the log with a unique reference number.

Understanding the Incident log

This video walks through creating a new incident and completing the incident assessment, from the initial screening to closure.

From the left-hand menu, select Incident Management, then Incident, and click New Incident.
Enter the incident title, the name of the person reporting the incident, their email address and telephone number.
- Note: The incident title and reporter name are mandatory.
Choose Save and Close to return to the incident log, or Save and Add Details to go straight to the assessment form.
Complete the Background step (the preliminary screening) and indicate whether a full incident assessment is needed:
- Yes – complete Completion Required By; Save and Exit becomes Save and Next, taking you through Investigation, Risk and Impact, and Outcome and Closure.
- No – fill in the explanation, review required by, review status and next review date.
- Don't Know – similar review-related fields appear.
- Note: With No or Don't Know, the remaining steps stay disabled.
Check the top of the form for the incident title and a reference number prefixed with INC (including the date and a unique identifier), which cannot be edited.
- Tip: Tooltips provide guidance throughout the form.
If the incident is classified as Security and Systems, or Both, complete the extra step 2A S&S investigation – usually done by the IT lead or IT team.
In the Investigation step, identify any third parties, such as data processors or vendors, and document processing responsibilities. Select data subjects and their personal or special category data; they appear as pills.
- Tip: Use +Other to add an unlisted data subject type for your whole organisation; the Answered pill shows the total selected.
In Step 3: Risk and Impact, selecting Yes, No or Possible reveals sub-questions and comment fields; impact and likelihood combine to calculate a risk score automatically.
- Tip: Click Overview for a visual summary of the risks; the same applies in the Communication section.
- Finish the step by selecting an Assessment Decision and Proposed Action and indicating whether the Regulatory Authority has been informed.
In Step 4: Outcome and Closure, use +New to add a risk, issue, lesson or task – each is added to the Summary of Activities table.
- Tip: Use additional notes and attachments to keep extra details in one place.
At the bottom of Outcome and Closure, record the Status, Closure Date, Approved By and Reason for Closure.
- Note: Closure By is filled in automatically with the logged-in user and cannot be edited.

Understanding the DPIA Log

This video walks through creating a Data Protection Impact Assessment (DPIA), from the first screening step to review and approval.

From the left-hand menu, select Data Privacy and Protection, then DPIA, and click New.
Enter a title in the popup (mandatory), then choose:
- Save & Close – saves your entry and returns you to the log.
- Save & Add Details – saves your entry and takes you to the screening step.
Complete DPIA Screening and decide whether a full assessment is needed:
- Yes – enter a "completion required by" date; Save & Exit changes to Save & Next so you can move through the five further steps: Processing description, Information rights risk, Security of processing, Processing risk summary, and Review and approval.
- No – fill in the explanation box, "Screening review required by", review status and next review date.
- Don't Know – fill in "Screening review required by", review status and next review date.
- Note: If you select No or Don't Know, the later steps stay greyed out.
Check the top of the form for your DPIA title and its reference number prefixed with "DPIA", which is generated automatically and cannot be edited.
- Tip: Tooltips throughout the form give helpful guidance and context.
Link the DPIA to a Record of Processing Activity using the Processing Activity dropdown on the screening step (or via Save & Begin DPIA on step four of a RoPA form).
- Note: Duplicate questions are auto-populated, and a warning states: "Any changes made here will also reflect in the associated processing activity."
In Processing Description, record third parties such as software vendors or suppliers.
- Tip: You can also link a vendor from the Vendor Assessment log; details then appear in both logs.
Select data subjects and their personal or special category data; they appear as pills below the question.
- Tip: Use +Other to add a subject type that isn't listed; the pill counter updates as you add more.
In Step 2 – Information Rights Risk, selecting "Yes" or "Possible" reveals sub-questions and a comments field; Step 3 lets you add further details.
In Step 4 – Processing Risk Summary, add a New Issue, New Risk, New Lesson or New Task – each is added to the Summary of Activities table automatically.
In Step 5 – Review & Approval, record who is responsible, the review date, approval date and status.
- Tip: Use additional notes and attachments to keep extra details in one place.

Creating a New DPIA

This video explains how to navigate and manage the Records of Processing Areas and Activities logs, including permissions, moving records and downloads.

From the left-hand menu, click Data Privacy and Protection, then Records of Processing.
- Note: New and edited records are logged automatically, each with a reference number beginning with ROP or ROPA that cannot be edited.
Turn on the My Processing Areas toggle (top-right) to see only areas where you are the owner or a member.
- Note: This toggle isn't available on the Records of Processing Activity log.
Sort by any column (the default is Ref No.); click the column title again to reverse the order.
Click View to choose which columns to show (at least one must stay selected), then Apply. You can save your custom view.
- Tip: Drag and drop columns to reorder them; the order is kept each time you log in, though the View popup won't reflect it.
Use Filter or Search to find records. An orange dot shows active filters; click Clear Filters to reset, or Reset to return to a saved filter.
Understand permissions:
- Areas: Owners and Members.
- Activities: Owners, Members, Reviewers, Attachment reviewers and Notified users.
- Anyone assigned to associated risks, issues, lessons or tasks gets edit access to that activity only – not the area or other activities.
- One owner per area or activity; no limit on members or notified users; one reviewer per activity or attachment. Owners can edit and delete; others can only edit.
- If a DPIA is linked to an activity, anyone with access to the DPIA can view and edit only that activity.
Move a processing activity to another area directly if you have permission; otherwise click Request to notify the new area's owners and members for approval.
- Note: The record is locked for editing while the request is pending.
Choose from five downloads: Record of Processing Area Log, Advanced Area Export, Record of Processing Activity Log, Advanced Export for a specific area, and Full Form Download (via Quick Actions).
- Tip: Refine downloads with filters, search, view settings or the toggle; you'll get an in-Platform and email notification when the file is ready.
Use the quick-access functions:
- Processing Activities: add a note, add members, move, duplicate, download, close or delete (closing or deleting also affects linked risks, issues, lessons and tasks).
- Processing Areas: create process, add new activities (from scratch or via Quickstart templates), add members, close or delete the area.

Application Platform

This video introduces the Application Library as a central place to organise and manage a school's EdTech applications, and walks through permissions and publishing a new application.

Open the left-hand menu and select Application Library.
- Note: The library can be used on its own or with 9ine's Vendor Platform. It helps schools audit, manage and get the most from their EdTech, reduce duplicated features and control costs.
Use the library's features:
- Label applications that use artificial intelligence, along with any associated safeguarding risks.
- Filter by curriculum topic, age restriction and other criteria to find subject-relevant, age-appropriate tools.
- Review and rate applications to share classroom experience with colleagues.
- Link to 9ine's Vendor Management and privacy tools for privacy-vetted contracts, information security policies and safeguarding checks, and connect applications to Data Protection Impact Assessments, Records of Processing and Incident Management.
To grant administrator permissions, a 9ine Platform administrator selects the Application Library administrator permission.
- Alternatively, enabling the user-level permission under Application Library lets authorised users view and interact with content without publishing, editing or deleting.
Administrators select New Application in the Application Library.
In the popup, complete the two required fields: Title and Approval Status (Pilot, Approved, Coming Soon, Restricted or Rejected).
If your school has access to 9ine's Privacy or Vendor Platforms, use the Vendor and POA fields at the top.
- Note: Selecting a POA fills in the application title, which you can edit without affecting the original assessment.
Record key details: age restrictions, AI usage (with an AI risk profile from predefined categories or a custom option), safeguarding guidance, and whether the application is specific to a subject, department, language or school site.
IT can document supported operating systems, recommended browsers and login methods, such as single sign-on or credential-based access.
Add the thumbnail, description, overview media, attachments, audience and tags. These appear on the application tile and in the library's preview view.
Complete the administrator-only fields: Managed By, Year, Next Review Date and Internal Notes.
- Note: These appear in both the new and edit workflows.

Granting Permission To Application Library

This video walks through publishing a new application to the Application Library and the information you can record about it, from approval status to IT and administrative details.

Click New Application to get started.
In the popup, complete the two mandatory fields: Title and Approval Status.
- Approval status options: Pilot, Approved, Coming Soon, Restricted and Rejected.
If your organisation has access to 9ine's Privacy or Vendor Platforms, use the Vendor and Processing Operation Assessment fields at the top of the form to link the application to associated vendors and POAs.
- Note: Selecting a POA automatically fills the application title with the assessment's title. You can edit it here without affecting the original POA.
Document key aspects of the application:
- Age restrictions, chosen from a predefined list (from 4+ to 18+, staff, or faculty).
- Whether it uses artificial intelligence (leave blank if unknown), and an AI risk profile from four predefined categories, or a custom option using +Other.
- Safeguarding guidance for safe and responsible use by students and staff.
- Whether it is specific to a subject or department, language, or school (for multi-site or through schools).
IT can record technical details to verify compatibility, security and compliance:
- Operating system (mobile, desktop or browser based).
- Recommended browser.
- Login method, such as single sign-on (SSO), user credentials, or another method.
Add the thumbnail, description, overview video or image, attachments, audience, tags and related fields.
- Note: These appear on the application tile in the library and in the Preview section.
Complete the administrative fields, which are not shown to authorised users:
- Managed by – the person or team responsible for the application.
- Year – when the application was added or updated.
- Next review date – a reminder for when the application should next be reviewed.
- Internal notes – notes visible only to those with administrative access.
- Note: These fields appear in both the new and edit workflows.

Raising an Application Request

This video introduces the Application Platform as the central hub for managing EdTech applications and sets out the steps to plan and launch it in your organisation.

Understand what the Platform offers: it helps you track, assess, request and share approved educational apps, providing centralised visibility, compliance insights and streamlined approval workflows.
- Note: You can use the Application Library and Directory on their own or with Application Requests, Vendor Management, Contracts or the Privacy Platform.
Step 1 – Assess your current process. Review how you manage applications today, for example: whether you rely on spreadsheets, lack a formal inventory, assess apps for safeguarding, child protection or compliance, pay for duplicate tools, or whether staff can easily find what they need.
Step 2 – Build your implementation strategy. Define responsibilities and approval flows across Privacy, Safeguarding and Child Protection, IT and Curriculum teams. Decide who manages the library, whether requests go through a tiered review, how applications will be categorised, and whether to integrate with Vendor Management, Contracts or the Privacy Platform.
Step 3 – Select apps for launch. Start with core apps for teaching, learning and administration, prioritising tools already in use and approved for compliance, such as your Learning Management System, Student Information System (or Management Information System), Assessment tools, Communication platforms or Productivity suites.
- Tip: Use the Application Directory to populate your library with apps pre-assessed by 9ine's team.
- Tip: Consider gathering user feedback before adding AI-powered or sensitive-data applications.
Step 4 – Launch and communicate. Consider a soft launch with a test group, training IT, Safeguarding and Child Protection, Privacy and Curriculum staff to explore workflows and give feedback. Launch in phases or all at once, depending on readiness.
Step 5 – Assign permissions. Administrators can publish applications, perform bulk uploads, access the Application Directory, edit and delete entries; authorised users have read-only access.
- For Application Requests, admins manage approvals, while users submit requests and track statuses.
- Tip: Use the Bulk Upload feature in User Management to onboard staff quickly and manage permissions at scale.

This video explains the Vendor Library, a central resource that helps schools assess and manage privacy, safeguarding and AI-related risks linked to their EdTech providers.

From the left-hand menu, select Vendor Library.
Review each vendor's detailed assessment, which covers compliance with data protection law, AI use aligned with the European Union AI Act, and legal obligations across the UK, USA and other jurisdictions. Insights include:
- A risk profile covering privacy compliance, AI usage and safeguarding.
- Indicators of special category data processing and related safeguarding concerns.
- Vendor transparency details, such as whether a provider claims Controller status.
Understand that each vendor assessment is supported by a Processing Operation Assessment, documenting data protection contacts, AI use and special category data processing.
Use Sort to organise the library, Search to find a specific provider, and alphanumeric pagination to browse by starting letter, number or character.
Look for labels showing assessments that are New, Recently Updated, Coming Soon or part of 9ine's Certified Program.
Hover over the icons on a vendor tile to see assessment status, AI involvement, special category data processing and safeguarding flags.
Select Preview to see more detail – status, special category data or AI involvement, safeguarding considerations, and associated risks, issues, lessons and tasks.
- Tip: The Description accordion can hold extra information explaining updates or assessment details.
Use Quickstart to add a vendor and its processing operation assessment directly from the library.
- Note: This needs access to the Vendor Platform and permission from your administrator. Quickstart items carry a distinct icon in the first column, which is removed once the assessment is edited and saved.
Link vendors to Records of Processing Activities, Data Protection Impact Assessments and the Application Library – the school-facing space where staff can view approved EdTech tools, key privacy, safeguarding and AI information, and shared guides and reviews.

User Management

This video shows administrators how to invite users – one at a time or in bulk – and set their permissions and notifications in User Management.

Click your organisation's name and select User Management.
- Note: All administrators have access by default and this can't be removed. To restrict a user's access, change their permission type to Authorised User.
- Features not purchased show a lock icon; expired features show a clock icon. Hover over them for details and how to contact 9ine's support team.
To invite one user, click New User and enter their first name, last name, initials, job title, type and email address.
- Note: The email address is mandatory and must match your organisation's primary domain or an approved secondary domain.
Click Next to manage permissions: select the permission type, edit the profile, adjust notification settings and allocate feature access.
To invite several users, click Bulk Invite and upload your own file or the predefined 9ine template (mandatory columns are marked with an asterisk), then click Upload & Assign Permissions.
Step one – Select Users: review the All, Action Required (missing mandatory fields) and Warning (conflicts such as duplicate emails or unapproved domains) tabs. Fill in missing fields and confirm with the tick button.
- Tip: Use Copy to All or Resolve to update many entries at once.
Step two – choose the permission type: Administrator (full access to manage user accounts and settings) or Authorised User (restricted access with defined permissions).
Step three – allocate feature access based on user roles; tooltips explain each permission.
Step four – configure notification settings (see the Notifications Help Centre article for more).
Step five – review everything and click Assign Permissions. A background verification then runs, after which users receive an email invitation.
- Note: Users have five calendar days to log in; after that they can reset their password from the login page, or an administrator can reset it via Menu Options in User Management.
If a bulk invite is paused, resume it with Resume Bulk Invite; the info icon beside it shows upload details.
