What is a Project Group? Project Group

A Project Group is the top level of the Governance hierarchy. It groups related Projects together so that ownership, membership, access and status are managed once at the group level and inherited by everything beneath it. Each Project in a group holds its own Tasks, Risks, Issues and Lessons, so managing the group affects that whole branch of work. Grouping is optional, a Project can also stand alone.

 
 

Who can access Project Groups? Project Group

Access depends on your organisation’s licence and on your role on each group. Your organisation needs the Governance licence, and you then see a Project Group when you are added to it as an Owner, Member, Notified User or Attachment Reviewer. Everything is scoped to your organisation, and anyone added to a group is given access to the module automatically.

 
 

What are the roles in a Project Group and what can each do? Project Group

There are four roles:

  • Owner is accountable for the group and is the only role that can delete it; an Owner can also create, view, edit and duplicate.
  • Member can create, view, edit and duplicate, but cannot delete.
  • Notified User has the same working rights as a Member and is also kept informed about the group; cannot delete.
  • Attachment Reviewer reviews the attachment assigned to them.

Only the Owner can delete a Project Group.

 
 

How do I add someone as a Notified User? Project Group

You add a Notified User while creating or editing the group, in the same place you assign the Owner and Members. A Notified User is kept informed about the group and holds the same working rights as a Member, they can view, create, edit and duplicate it, but cannot delete it. Anyone you add is given access to the module automatically.

 
 

What are the Project Group statuses? Project Group

Project Groups use a fixed set of five statuses: Not Started, In Progress, On Hold, Quality Assurance and Closed. A new group always starts as Not Started, and you can then move it to any other status in any order. Closed is not final and can be reopened. The set is the same for every organisation and cannot be changed, and you update one group’s status at a time.

 
 

What happens when I close or delete a Project Group? Project Group

Closing a group sets its status to Closed and notifies the relevant people. It is not final, so a closed group can be moved back to another status at any time. Deleting a group removes it entirely, and you can choose to delete its child Projects, Risks, Issues, Lessons and Tasks along with it. Deleting also removes the related access and notifies the relevant people. Only the Owner can delete a group.

 
 

Can I duplicate a Project Group? Project Group

Yes. Owners and Members can duplicate a group, subject to your organisation’s contract. You can add a prefix to the copy’s title, and the copy keeps the same access as the original.

 
 

What are default Project Groups? Project Group

A default Project Group is created for you automatically when a contract is purchased, so a usable group is ready from the start. You can work in it straight away or create your own groups as normal.

 
 

How do I get reminded about a Project Group’s due date? Project Group

You are reminded through a due-date reminder on the group. You choose the timing, the reminder fires according to the reminder you set against the due date rather than on a fixed schedule. It reaches you as an in-Platform notification and, where you have email notifications enabled, by email.

 
 

Why does the log look different for me, and where did a closed group go? Project Group

Your log reflects your own saved filter and the My Project Groups toggle, so two people can see different lists. When you have not set a filter, a personal or organisation default is applied, and the toggle narrows the log to the groups you are on. Everything is also limited to your organisation and to the groups you can access. A closed group has not been removed, it has moved to the Closed status, so clearing your filter or including Closed brings it back.
