Understanding the incident platform

The Incident Platform includes:

  • Structured Incident Workflow: Incident Management guides users through a four-step (or five*) process: Background, Investigation, Risk & Impact, and Outcome & Closure. This structured approach ensures all details are captured, assessed, and addressed systematically.
  • Screening and Assessment: During the initial Background stage, organisations can conduct a preliminary assessment to decide if a full incident evaluation is required. Based on the screening outcome, users can proceed with further investigation and any necessary next steps.
  • Investigation and Risk Assessment:- The Investigation step includes in-depth classification options and the ability to identify third-party involvement. Risk assessments evaluate both the likelihood and impact of distress to data subjects, with visual overviews and score calculations based on predefined risk factors.
  • Summary of Activities and Closure: The Outcome & Closure step summarises all actions taken during the incident resolution, including associated risks, issues, lessons learned, and tasks created through the process. Closure details such as Closure Date, Approved By, and Reason for Closure are logged, ensuring comprehensive documentation and accountability.
  • Downloadable Reports: Incidents and related data can be downloaded in three forms: log, advanced, or as a form. The advanced report includes data from both the log and forms in a combined export. This simplifies reporting and documentation for audits or organisational reviews.
  • Additional Notes & Attachments: The Additional Notes and Attachments features keeps incident-related notes organised, while attachments allow easy access to supporting documents, promoting thorough incident documentation.

  • Risk levels are determined by assessing both the Likelihood and Impact of distress to affected individuals through predefined questions. This score is visually represented, providing a quick overview of the risk level and helping prioritise resources accordingly.
  • Users also have the ability to create individual risks, issues, lessons, and tasks using the +New feature throughout the incident assessment. Individual risks and issues also have the ability to allocate an impact and likelihood value which automatically calculates the risk or issue score.
