Understanding the Gantt Chart

This video shows how to configure and use the Gantt Chart to manage project timelines and tasks, and how to read what it displays.
- From the left-hand menu, select Governance and click Gantt Chart.
- Tip: You can also open it with the Gantt Chart button in the Tasks Log.
- Use the controls to customise your view: a date range picker, filters, a My Actions toggle, zoom controls and a refresh option.
- The date range defaults to the last 30 days. Switch to today, yesterday, last 7 days, this month, last month or a custom range. Monthly selections cover the full calendar month.
- Note: An orange indicator next to the filter icon shows that filters are applied.
- Turn on My Actions to see only items where you are the owner, member or a notified user. Click the Refresh icon to update the chart with the latest data and the current date and time.
- The left panel lists priority, title, start and due dates, owner, duration and status. The right panel shows the same data visually, with estimated, logged, remaining and scheduled time, and any associations.
- Tasks are nested under their projects and sorted by priority, critical first. Tasks with no priority appear at the bottom under Very Low; tasks not linked to a project appear under Standalone Tasks.
- Use the arrow icon in the left panel to expand or collapse task groups. Click a column header to sort, or drag it to resize.
- Task bars are colour-coded by priority, with a darker shade showing completion progress.
- If a project has no dates but its tasks do, only the task bars appear, with an info icon for the project.
- Tasks with only one date appear as milestone markers; tasks with no dates appear under Unscheduled Tasks at the bottom.
- Export the Gantt chart as a PDF or Excel file for reporting.

This video shows how to create a new Project Group, helping you organise and manage your governance activities more efficiently.
- From the left-hand menu, click Governance, select Project Groups, then click New Project Group. You will see five tabs: Details, Checklist, Notes, Attachments and Custom Data.
- In the Details tab, enter the core information. Title and Owner are mandatory; you can also set a Due Date, Description and Status.
- Note: Typing alone does not count as activity. Click Save or Cancel regularly – you get a reminder at 30 minutes and are logged out after 45 minutes of inactivity.
- The Number field sorts project groups sequentially. Use up to five digits, including decimals; text is not allowed. The number is visible to everyone in your organisation.
- Assign roles: Owners, Members, Notified Users and Attachment Reviewers.
- Owners can edit and delete; other roles can edit but not delete.
- A user cannot be both Owner and Member, but you can have as many Notified Users as you need.
- If an owner's account is deactivated, you will be asked to reassign ownership the next time you click Save.
- Tip: Use Select All to add all members at once. More than two members are grouped into a single pill.
- To notify someone, type @ in the Description or Notes tab and select their name. This triggers in-Platform and email notifications, unless the user has disabled them. Delete the name to remove the notified user.
- Set the due date by typing it or using the calendar (click the month or year to jump). Use Clear to remove it. An expired due date shows a warning.
- Choose a status: Not started, In progress, On hold, Quality assurance or Closed.
- Note: Closing a project group removes it from the active log automatically.
- In the Checklist and Custom Data tabs, type an item and click Add. There is no text limit and duplicates are not allowed. You can reorder, edit, delete or mark items closed – click again to undo.
- Use the Notes tab for ongoing updates. Click Add Another for more notes; each is time-stamped with your user ID, and the latest appears at the top. Edited notes are re-time-stamped and reordered.
- In the Attachments tab, upload up to five files at once. Check the tooltip for file types and limits.
- Click Save or Cancel (cancelling unsaved changes asks for confirmation). If you added notified users, a permission prompt appears – click OK to grant access and send notifications. The Project Group is added to the log with a unique reference ID.
An Overview of Project Groups

This video walks through creating a new Project step by step, covering details, scheduling, time and cost tracking, notes and attachments.
- From the left-hand menu, go to Governance, select Projects, then click New Project. You will see eight tabs: Details, Checklist, Scheduling, Time Management, Cost, Notes, Attachments and Custom Data.
- In the Details tab, enter the project title, number, description, project group, owner, members, priority and status. Title and Owner are mandatory.
- The Number field orders projects sequentially – up to five digits, including decimals. Text is not allowed.
- Use the Description field for formatted text.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. In full screen the reminder may not appear unless browser notifications are enabled. Typing does not count as activity – only Save or Cancel do.
- Assign roles. Owners can edit and delete; others can only edit. A user cannot be both owner and member. If an owner's account is disabled, you will be asked to reassign ownership when saving.
- Mention users with @ in the description or notes fields. They receive Platform and email notifications when you save.
- Optionally associate the project with a group to grant access to the relevant users automatically. Set the priority (Critical to Very Low) and status (Not Started to Closed).
- Note: Closed projects are removed from the log automatically.
- Add items in the Checklist or Custom Data tabs. Items can be reordered, edited, deleted and marked as closed at any time.
- In the Scheduling tab, enter the year, start date, end date and term/semester. Warnings appear for lapsed dates.
- The Time Management tab tracks estimated against actual time spent on tasks. The Time Log section shows detailed entries by team members; to edit time, go to the specific task.
- In the Cost tab, estimate and log costs for the project and its tasks. Task costs do not add to the project total, and vice versa. The total cost of the linked tasks is shown in the tab but not in the right-hand Cost Log.
- Note: All entries must use the same currency.
- Use the Notes tab to store project information (with formatting); click Add Another for multiple notes, each tagged with name, date and time. Notes can be edited or deleted, and the latest appears at the top. Upload up to five files or images at a time in the Attachments tab.
- Save the project to send notifications and grant permissions to added users (a warning appears if permissions change via mentions). The project is added to the log with a unique reference number.

This video shows how to create a new risk or issue, including scoring, categorising and assigning a control type so it can be tracked and reviewed.
- From the left-hand menu, go to Governance, select Risks and Issues, then click New in the top right-hand corner. You will see eight tabs: Details, Checklist, Controls, KPIs, Root Cause, Notes, Attachments and Custom Data.
- First, choose whether you are creating a Risk or an Issue.
- In the Details tab, enter the title, description, next review date and status. Mandatory fields are Title, Owner, Category, Impact, Likelihood and Status.
- The Number field orders items sequentially – up to five digits, including decimals. Use Full Screen in the Description field for longer text.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. Typing alone does not count – only Save or Cancel do.
- Assign Owner, Member, Notified User and Attachment Reviewer roles. Owners can edit and delete; others can edit but not delete. A user cannot be both Owner and Member. There is no limit on members.
- Use @ mentions in Description or Notes to send in-Platform and email notifications.
- Optionally link the item to a project or project group to manage access automatically. Users only see projects they have access to.
- Select a category, or create a custom one using Other. You can add unlimited subcategories.
- Choose a control type: Tolerate, Treat, Transfer or Terminate. Impact and Likelihood scores combine into an overall rating from Very Low to Critical.
- Set the next review date (typed or with the date picker – expired dates show a warning) and the status (Open or Closed). Closed items are removed from the log.
- Use Checklist, Controls, KPIs, Root Cause and Custom Data in the same way – add, reorder and close entries (no duplicates). Add notes with Add Another, upload up to five files in Attachments, then click Save (or Cancel). Click OK on the permission warning if you added notified users. The item is added to the log with a unique reference number.
An Overview of Risks and Issues

This video shows how to create a new lesson in Governance so that learning points can be recorded, assigned to the right people and followed up.
- From the left-hand menu, go to Governance, select Lessons, then click New Lesson. You will see five tabs: Details, Checklist, Notes, Attachments and Custom Data.
- In the Details tab, enter key information such as Title, Description, Next Review Date and Status. Title, Owner and Status are mandatory.
- The Number field orders lessons sequentially. It accepts numeric values of up to five digits, including decimals, and is visible across the organisation.
- For longer text, use the Full Screen option in the Description field.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. Typing alone does not count as activity – only actions such as Save or Cancel do.
- Assign roles: Owner, Member, Notified User and Attachment Reviewer.
- Owners can edit and delete; other roles can edit but not delete.
- A user cannot be both Owner and Member. You can add multiple members, and extra users are grouped for easy viewing.
- To notify someone, type @ in the Description or Notes field and select their name. Mentions trigger notifications and emails, unless the user has disabled them.
- Optionally link the lesson to a Project or Project Group. Selecting a project assigns its group automatically, and permissions from these parent items are inherited.
- Set a Next Review Date (type it or use the date picker; Clear removes it), choose a priority from Critical to No Selection, and set the status to Open or Closed.
- Note: Closed lessons are removed from the log automatically.
- Use the Checklist and Custom Data tabs in the same way: type an item and click Add. You can reorder, edit, delete, close (strikes through the text) or reopen items. Duplicates are not allowed.
- Use the Notes tab for updates – click Add Another for multiple notes; each records the user, date and time. Upload up to five files or images at once in the Attachments tab.
- Click Save to create the lesson or Cancel to discard changes (unsaved changes prompt a confirmation). If you added notified users, a permission warning appears – click OK to grant access and send notifications. The lesson is added to the log with a unique reference number.
- You can create tasks linked to the lesson; associated users get access automatically. The Tasks column shows the number of active tasks – click it to see tasks by status (Not Started, In Progress, On Hold, Quality Assurance, Closed).
- Tip: Closed tasks are not counted but can be viewed using filters or View All. Use your browser's Back button to return.
