This video introduces the Governance Dashboard and its charts, which help you focus on critical activities, understand current statuses and make data-driven decisions across Project Groups, Projects, Risks, Issues, Lessons and Tasks.
- Open the Governance Dashboard. Access is included in the Governance licence; once Governance is purchased, all users have access.
- Note: At first you may see limited data or No records available messages until data is entered across the Governance features.
- What you see depends on your assigned permissions: Owner, Member, Notified User (via mentions or linked tasks) and Attachment Reviewer.
- The dashboard has 56 cards across six key tabs, using Table Charts, Donut Charts, Pie Charts, Gauge Charts, Burndown Charts and Bar Charts.
- Table Charts show multiple columns, can be sorted and have a View All option. Default sorting depends on the category:
- Projects – by priority, then due date
- Risks/Issues – by score, then next review date
- Tasks – by priority, then due date
- Donut Charts compare data points visually, such as overdue tasks versus on-time tasks. Click a segment to see the percentage breakdown.
- Gauge Charts work like speedometers, showing progress against key goals such as the percentage of risks closed.
- Pie Charts give a multi-dimensional view of Governance data, including status breakdowns.
- Burndown Charts track estimated time and costs against actual usage, so projects stay on time and within budget.
- Note: Costs must be logged in a single currency for a given project and its associated tasks.
- Bar Charts give side-by-side comparisons, such as open issues versus control strategies.

This video walks through creating a new Project step by step, covering details, scheduling, time and cost tracking, notes and attachments.
- From the left-hand menu, go to Governance, select Projects, then click New Project. You will see eight tabs: Details, Checklist, Scheduling, Time Management, Cost, Notes, Attachments and Custom Data.
- In the Details tab, enter the project title, number, description, project group, owner, members, priority and status. Title and Owner are mandatory.
- The Number field orders projects sequentially – up to five digits, including decimals. Text is not allowed.
- Use the Description field for formatted text.
- Note: You are logged out after 45 minutes of inactivity, with a reminder at 30 minutes. In full screen the reminder may not appear unless browser notifications are enabled. Typing does not count as activity – only Save or Cancel do.
- Assign roles. Owners can edit and delete; others can only edit. A user cannot be both owner and member. If an owner's account is disabled, you will be asked to reassign ownership when saving.
- Mention users with @ in the description or notes fields. They receive Platform and email notifications when you save.
- Optionally associate the project with a group to grant access to the relevant users automatically. Set the priority (Critical to Very Low) and status (Not Started to Closed).
- Note: Closed projects are removed from the log automatically.
- Add items in the Checklist or Custom Data tabs. Items can be reordered, edited, deleted and marked as closed at any time.
- In the Scheduling tab, enter the year, start date, end date and term/semester. Warnings appear for lapsed dates.
- The Time Management tab tracks estimated against actual time spent on tasks. The Time Log section shows detailed entries by team members; to edit time, go to the specific task.
- In the Cost tab, estimate and log costs for the project and its tasks. Task costs do not add to the project total, and vice versa. The total cost of the linked tasks is shown in the tab but not in the right-hand Cost Log.
- Note: All entries must use the same currency.
- Use the Notes tab to store project information (with formatting); click Add Another for multiple notes, each tagged with name, date and time. Notes can be edited or deleted, and the latest appears at the top. Upload up to five files or images at a time in the Attachments tab.
- Save the project to send notifications and grant permissions to added users (a warning appears if permissions change via mentions). The project is added to the log with a unique reference number.

This video shows how to create a new Project Group, helping you organise and manage your governance activities more efficiently.
- From the left-hand menu, click Governance, select Project Groups, then click New Project Group. You will see five tabs: Details, Checklist, Notes, Attachments and Custom Data.
- In the Details tab, enter the core information. Title and Owner are mandatory; you can also set a Due Date, Description and Status.
- Note: Typing alone does not count as activity. Click Save or Cancel regularly – you get a reminder at 30 minutes and are logged out after 45 minutes of inactivity.
- The Number field sorts project groups sequentially. Use up to five digits, including decimals; text is not allowed. The number is visible to everyone in your organisation.
- Assign roles: Owners, Members, Notified Users and Attachment Reviewers.
- Owners can edit and delete; other roles can edit but not delete.
- A user cannot be both Owner and Member, but you can have as many Notified Users as you need.
- If an owner's account is deactivated, you will be asked to reassign ownership the next time you click Save.
- Tip: Use Select All to add all members at once. More than two members are grouped into a single pill.
- To notify someone, type @ in the Description or Notes tab and select their name. This triggers in-Platform and email notifications, unless the user has disabled them. Delete the name to remove the notified user.
- Set the due date by typing it or using the calendar (click the month or year to jump). Use Clear to remove it. An expired due date shows a warning.
- Choose a status: Not started, In progress, On hold, Quality assurance or Closed.
- Note: Closing a project group removes it from the active log automatically.
- In the Checklist and Custom Data tabs, type an item and click Add. There is no text limit and duplicates are not allowed. You can reorder, edit, delete or mark items closed – click again to undo.
- Use the Notes tab for ongoing updates. Click Add Another for more notes; each is time-stamped with your user ID, and the latest appears at the top. Edited notes are re-time-stamped and reordered.
- In the Attachments tab, upload up to five files at once. Check the tooltip for file types and limits.
- Click Save or Cancel (cancelling unsaved changes asks for confirmation). If you added notified users, a permission prompt appears – click OK to grant access and send notifications. The Project Group is added to the log with a unique reference ID.

This video shows how to create a new task, including linking it to other items, scheduling it and tracking its time and cost.
- From the left-hand menu, go to Governance, select Tasks, then click New Task. You will see nine tabs: Details, Checklist, Scheduling, Time Management, Cost, Link, Notes, Attachments and Custom Data.
- In the Details tab, enter the Title, Description, Priority and Status. Title and Owner are mandatory.
- The Number field sequences tasks – up to five digits, including decimals, visible across the organisation; text is not allowed.
- Use Full Screen in the Description field for large inputs.
- Note: Sessions expire after 45 minutes of inactivity, with a 30-minute reminder. Typing does not count as activity – only Save or Cancel do.
- Assign Owner, Member, Notified User and Attachment Reviewer roles.
- Owners can edit and delete; others can edit but not delete. A user cannot be both Owner and Member.
- There is no limit on members; use Select All if needed. Extra members are grouped into a clickable pill.
- If a user is disabled, you will be asked to reassign on save.
- Type @ in Description or Notes to notify users. This triggers in-Platform and email notifications unless disabled. Delete the name to remove the mention.
- Associate the task with Project Groups, Projects or other items such as Risks, Issues, ROPA, DPIAs, Lessons, Vendor Logs and Incidents – the task then appears in their logs.
- Selecting a project fills in its group automatically. Access is granted to the linked item's users, and permissions are inherited from parent projects and project groups.
- Set the priority (Critical to No Selection) and status (Not Started to Closed). Closed tasks are removed from the log automatically.
- In Checklist and Custom Data, add items (no limit, alphanumeric, no duplicates). Items can be reordered, edited, deleted or marked complete (struck through), and undone at any time.
- In Scheduling, set Year, Start Date, Due Date and Term/Semester, by typing or using the calendar. Expired dates show a warning.
- In Time Management, estimate and log time. Entries add up into the associated project (time cannot be logged at project level) and appear in the Time Log with user, date and duration. In Cost, estimate and log task costs – tasks linked to a project must use the same currency, and costs are not added to project totals.
- In Link, define dependencies such as blocks, blocked by, related to and completed before/after; permissions are shared across linked tasks. Add notes with Add Another, upload up to five files in Attachments, then click Save (or Cancel). Click OK on the permission warning if you added notified users. The task is added to the log with a unique reference number.
