Application Requests
The Application Requests feature provides a streamlined process for users to request new applications that are not yet available in the Application Library. This ensures organisations have a centralised workflow for managing application requests, tracking approvals, and maintaining oversight of application requests. Application Requests is included with the Application Platform licence and can be enabled or disabled alongside the Application Library feature. Alternatively, organisations can use Application Requests as a standalone feature, allowing users to submit and manage application requests independently of the library.
Application Requests are used to request a new application that is not yet available in your Application Library. This is different from the Request button on an Application Library tile, which is used to request access to an application that is already available in the Application Library.
Application Requests provides a centralised interface for users to submit new application requests, eliminating scattered or informal request processes. It ensures that all requests are logged, tracked, and reviewed in a single location, enhancing efficiency and oversight. For Application Request administrators, this feature streamlines the evaluation and approval process, making it easier to assess application needs within the organisation. Users are required to provide key information, helping data protection, IT, and safeguarding teams make informed decisions about new applications.
By integrating Application Requests with the Application Library, organisations establish a structured workflow that ensures proper review and approval before adding applications to their library.

Accessing application requests
Upon purchasing the Application Platform, organisations can assign permissions at either the application request administrator level or authorised user level, allowing tailored access for different roles. Your 9ine Platform administrator(s) can allocate these permissions through the User Management feature located in the header.
Tip: The 9ine Application Platform licence includes access to the Application Requests feature. However, organisations can enable or disable this feature via User Management to control individual user access. When enabled for an individual user:
- Application Requests will appear in the left navigation.
- A New Request button will be available in the Application Request log.
- Users will be able to submit and track requests in the Application Requests log.
To grant Application Requests administrator permissions, 9ine Platform administrator(s) should check the option labelled Access to approve, reject, and delete Application Requests. This level of access allows users to manage all aspects of application requests, including reviewing, approving, rejecting, and deleting requests.
Alternatively, checking the option on the left side of Application Requests provides user-level permissions for authorised users, allowing access to request new applications, without the ability to view requests made by other users.
When navigating to Application Requests, users with Application Request administrator permissions will see the My Requests toggle in the upper right-hand corner of the page.

Their log will display all application requests made by users across the organisation, and they have the ability to approve, reject, and delete user requests.
Warning: Before granting users access to Application Requests, 9ine Platform administrator(s) must add at least one email address in the Email ID field under Request New Application in Organisation Profile. The administrator permission cannot be granted until a recipient email has been added.
- To add email recipients, 9ine Platform administrator(s) should navigate to Organisation Profile in the header, enter one or more email addresses for designated recipients under Request New Application, and enable the toggle to activate the feature.
- Once an email address is added, recipients will receive notifications in their inbox for all new and updated Application Requests.

Understanding how to raise an application request
Begin by clicking New Request in either the Application Library or Application Requests log. A popup will appear, prompting you to enter the title of the application you wish to request. Once entered, click Save & Add Details. Application Requests consists of three steps: Application Request, Safety & Privacy, and Custom Questions.
In the first step, you are required to provide as much information as possible, including:
- The subject or department the application relates to.
- The intended users who will be using the application.
- Details on how the application will be utilised.
- Whether budget has been allocated for the application.
Providing comprehensive details will help streamline the review and approval process.

If the subject or department is not listed, you have the option to add custom entries using the +Other functionality.
In the second step, you must respond to a series of data protection and safeguarding questions by selecting one of the following options:
- N/A
- Yes
- No
- Don't Know
If Yes, No, or Don't Know is selected, additional sub-questions will appear, requiring you to provide further details. This step ensures that key compliance and security considerations are addressed before the application request is processed.

In the third step, users can create custom questions and add multiple entries as needed. Each question can be edited or deleted before saving. Once a question is added, it will be available for use in future application requests as well. However, after a response has been submitted for a question, it can no longer be deleted.

Once all required information is provided, you have the option to Save & Request, which submits your Application Request via email to the designated email address(s). You will be notified once your application has been approved or rejected via email and an in-Platform notification. Your Application Request administrators may also contact you via email for further information if needed.
Approving, rejecting, or deleting an application request
Once a user submits an Application Request, your organisation's Application Request administrators will receive an email to the designated address specified in the Organisation Profile by your 9ine Platform administrator(s). After accessing the 9ine Platform from the email, Application Request administrators should go to Application Requests in the left navigation menu.
They will then see the entry in the log and have the following options:
- Edit
- Approve
- Reject
- Delete

When clicking Edit, an Application Request administrator can modify any information provided by the user in Step 1, Step 2, and Step 3. Selecting Approve or Reject opens a popup where the administrator can add details related to their decision, and two options are displayed in the Approve and Reject popup.

Create new Application: Allows the user to open the Application Library pop-up and create a completely new application, which can then be added and published.

Quickstart from Application Directory: This option appears only when the Application Directory holds entries matching the application request name.The list of matching applications is displayed; the user can preview an application and, after selecting one from the list, either start it using Quickstart or submit a request for the application. After Quickstart, the application opens in edit mode, allowing the user to review or update the details before publishing.
If approved or rejected, the application can be added to the Application Library according to your organisation's processes.
