Welcome to the Gantt Chart user guide. This feature is a project management tool that enhances planning and resource management across tasks and projects. The Gantt Chart provides a visual representation of timelines, helping teams understand task sequences, durations, and dependencies effectively. It allows teams to track progress visually, aligning tasks with strategic goals and deadlines.

Teams can adjust their strategies based on real-time progress visible in the Gantt Chart, making it easier to manage deadlines and resource allocations effectively. This tool's structured approach not only ensures that all project activities are kept on track but also supports precise task control and management.

Accessing Gantt Chart

Upon purchasing Governance and its associated features, all users have default access to the Gantt Chart. It can either be accessed by clicking on the Gantt Chart option in the left navigation menu or by clicking the Gantt Chart button in the Tasks or Projects log.

 
 

Understanding how to use the Gantt Chart

In the Gantt Chart, you have access to several settings that help tailor the data displayed to your needs, including a date range picker, a filter, a setting to view your actions (My Actions), and a zoom function with three views: Week, Month (default), and Year. The Gantt chart opens in Month view by default. Use the Zoom In and Zoom Out controls to switch between views. The Zoom In button is disabled when the Week view is reached, and the Zoom Out button is disabled when the Year view is reached. By default, the date range picker is set to display data from the Last 30 Days. You can adjust this by selecting from predefined ranges such as:

  • Today
  • Yesterday
  • Last 7 Days
  • Last 30 Days
  • This Month
  • Last Month
  • A Custom Date Range
  • No Date Selection

For monthly selections, the 9ine Platform automatically determines the start and end dates by calendar month.

 

An orange dot appears next to the filter icon when active, making it easy to recognise. To quickly clear any filters and the selected date range, use the Clear Date Range or Reset Filters & Date Range options. If you want to focus solely on the items for which you are responsible, activate the My Actions function. This setting filters and displays only the tasks where you are the owner, member, or notified user.

To update the Gantt Chart with the latest information, click the Refresh icon. This action will display the most recent changes and update the displayed date and time.

The Gantt Chart is structured into two main sections:

  • The left-hand panel displays key details such as priority, title, start and due dates, owner details, member details, duration, and status for both projects and tasks.
  • The right-hand panel mirrors this information and also includes metrics such as estimated time, logged time, remaining time, scheduled time, and any associations if applicable.

Tasks associated with a project are nested beneath it in the Gantt Chart, organised by priority level. Critical tasks are listed first by default. If a task has not been assigned a priority, it will appear at the bottom of the list, below tasks marked as Very Low. This arrangement ensures a clear and structured display of project timelines and dependencies.

If a task is standalone (not allocated to a project), it will appear under the Standalone Tasks section of the Gantt Chart.

 

Each individual column in the left-hand panel can be individually sorted by clicking the column title. Clicking a column header once sorts the log by the selected column, and clicking it a second time reverses the order.

The columns displayed in the left-hand panel can be resized by dragging the column header.

The individual bars are displayed in their associated priority colour and if progress has been made against the individual item, the bar will be displayed with the relevant percentage in a darker shade which demonstrates the progress made against time.

If a start date and due date are not added to a project but either a start date or due date (or both) are added to the tasks under such projects, a bar will only display for the task and an info icon will be displayed for the project:

If a task does not have a start or due date, and only displays one of the data points there will be milestone marker using the relevant option:

If neither a start date or due date have been added, the tasks will appear under the section labelled Unscheduled Tasks which appears at the bottom of the Gantt Chart.

 
 

Editing a project or task from the Gantt Chart

You are able to edit projects or tasks directly within the Gantt Chart by clicking the project or task bars and for unscheduled tasks that don’t have a bar, users can edit them by clicking on the task title, which opens a popup. This gives you the ability to make instant changes without the need to navigate to the respective logs.

  • On clicking the bar or task title, you will be presented with the respective popup (for the project or task), enabling you to make changes.
  • On making changes, you have the option to click Save or Cancel to apply or discard changes, just as you would when editing via the respective log.
  • Editing items from the Gantt Chart is governed by the same permissions as the corresponding Task or Project log. Users with view-only access can view items but cannot make changes. Additionally, closed tasks and projects cannot be edited from the Gantt Chart.
 
 

Downloading the data displayed on the Gantt Chart

To download a Gantt chart data, either click the options available in the Download button PDF or XLS

The Excel option generates a spreadsheet containing the currently displayed Gantt Chart data, including the columns Priority, Title, Owner, Member(s), Start Date, Due Date, Duration, and Status. The PDF option generates a PDF version of the chart for sharing.

You can customise the exported data by applying filters, date ranges, or other view options before downloading. Once you click Download, the export file will be saved to your local file explorer.
