We are excited to introduce several updates to Vendor Assessment, including new data points in the Vendor and POA logs, along with the launch of log download functionality.

Enhancements to the vendor assessment log

  • We have introduced two new columns to the Vendor Log, sourced directly from vendor details, to enhance visibility of vendor's location(s) and their data processing activities:
    • Country (HQ): Displays the country where the vendor's headquarters is located, showing the country name in full (e.g., India, United Kingdom), pulled from the vendor’s details.
  • Processing Country: Displays a count of the countries where the vendor’s processing activities take place, as vendors may operate in multiple countries. Clicking on the count reveals the list of processing countries, also sourced from the vendor's details.
  • The additional data points have been included in the filter, view, and search. 
  • As part of this release, we have introduced the functionality for users to download the vendor log. Users can access this feature by clicking the Download button and selecting the Log sub-option. 
  • This download exports all data from the log, excluding hidden items filtered out using My Vendors, Filter, or Search. Note: if a user removes columns via the View option these columns and the associated data will still appear in the exported file.
  • Upon clicking Download, a background process will begin, and a toaster notification will appear once the download is complete. Users will receive both an email and an in-Platform notification when the download is ready. Clicking Download in the email will redirect users to the login page (if not logged in). After logging in, the file will be downloaded to their native file explorer.

Enhancements to the processing assessment operation log

  • We have introduced several new columns to the Processing Operation Assessment (POA) Log, sourced directly from the POA form.
    • Personal Data & Special Category Data: After selecting Who are the data subjects? in the Processing Operation Description step of the POA form, the log will display a count of the selected categories (e.g., Parents, Staff). Clicking the count reveals specific details, such as the individual categories and their data types.
    • Additional Columns: The following fields have been added to the log to provide a more detailed overview of each processing operation:
      • Transfer Frequency
      • Infringement
      • Hosted
      • Hosting Type
      • Type
      • Accessed
      • Third Party
      • System Owner
      • Backup
      • Encryption
      • Restriction
      • Security Controls
    • Review and Approval Status: Two new columns track the Review Status and Approval Status for each processing operation.

Note: Each column comes with a tooltip, providing extra details when users hover over the headers. The tooltips clarify the shortened titles and help users better understand the content.
