We have introduced enhancements to the Vendor Assessments feature, including a new Department(s) field in POAs, updated notifications, and improved toaster notifications.

Adding the departments field to processing operation assessment forms

  • A new optional Department(s) field has been added to the Processing Operation Assessment (POA) form, allowing users to associate one or more departments with each assessment. 
  • This field is available in the first step (Processing Operation Description) of the POA form.
  • Users can select one or more departments from a dropdown list or create new departments if none exist. 
    • If no departments have been added, users will see the + option to create new departments. Once departments are added, the dropdown will display all available options for selection.
  • The Department(s) field is optional, allowing for better organisation but not required.
  • Additionally, a new Department(s) column in the POA log displays the number of associated departments. Clicking the number reveals the full list of departments linked to the assessment. This field has been incorporated into the search, filter, and view functionalities on the log, enabling users to filter the POA log by department(s).

Enhancements to in-Platform, email, and toaster notifications

Vendor Assessment Notifications

  • Vendor Assessment Assigned to Owner: Both in-Platform and email notifications are sent when a Vendor Assessment is assigned to an Owner.
  • Vendor Assessment Assigned to Member: Notifications are triggered when a Member is assigned to a Vendor Assessment.
  • Member Added or Removed: In-Platform notifications inform users when Members are added or removed from a Vendor Assessment.
  • Next Review Date Added/Updated: Notifications are triggered when the Next Review Date for a Vendor Assessment is set or changed, including email notifications.
  • Legal Name or Trading Name Changed: Users are notified when the Legal or Trading Name of a Vendor is modified.
  • Vendor Assessment Closed or Reopened: Notifications alert users when a Vendor Assessment is closed or reopened.
  • Vendor Assessment Deleted: An in-Platform and email notification is sent when a Vendor Assessment is deleted.

Vendor Assessment Toasters

  • Access Denied: If a user no longer has access to a Vendor Assessment due to permission changes, an orange toaster message will display: You do not have permission to access this Vendor.
  • Vendor Deleted: When a Vendor Assessment is deleted, users are returned to the log page and a toaster message displays: The vendor has been deleted.
  • Vendor Closed: If a Vendor Assessment is closed, a toaster message displays:  The vendor has been closed.

Risk and Issue Notifications

  • Assigned to Owner or Member: Users receive in-Platform and email notifications when a Risk or Issue is assigned to them, whether as an owner or member.
  • Member Added or Removed: Notifications are triggered whenever members are added to or removed from a Risk or Issue, keeping stakeholders informed of changes to the team.
  • Next Review Date Added or Updated: Users are notified when a next review date is set or changed for a Risk or Issue, ensuring important deadlines are tracked and adhered to.
  • Title Changes: If the title of a Risk or Issue is changed, users are notified about this update, helping them stay on top of changes.
  • Risk or Issue Closed or Reopened: In-Platform and email notifications are triggered when a Risk or Issue is closed or reopened, ensuring transparency of status changes.
  • Risk or Issue Deleted: Users are notified when a Risk or Issue is deleted, both in-Platform and via email.
  • Score Changes: Any changes to the score (impact, likelihood, or overall risk score) of a Risk or Issue will trigger a notification, ensuring stakeholders are aware of its updated risk level.
  • Checklist Items Added, Updated, or Changed: Notifications are triggered when checklist items related to Risks or Issues are added, edited, or changed, helping teams keep track of outstanding actions.
  • Custom Data Added, Updated, or Changed: Notifications are also sent when custom data fields related to Risks or Issues are updated, providing transparency around all key information.
  • Converted to Risk or Issue: If a Risk is converted into an Issue, a notification will alert stakeholders of this change. This also applies when an Issue is converted back to an Issue.
  • Associated, Closed, Reopened, and Deleted: Notifications are triggered when Risks or Issues are associated with other items or when they are closed, reopened, or deleted.

Project Group and Project Notifications

  • Assigned to Owner or Member: Users receive in-Platform and email notifications when a Project Group or Project is assigned to them as an owner or member.
  • Member Added or Removed: Notifications are triggered whenever members are added to or removed from a Project Group or Project, keeping users informed of team changes.
  • Project Group or Project Closed or Reopened: In-Platform and email notifications are sent when a Project Group or Project is closed or reopened, ensuring all stakeholders are aware of the status.
  • Deleted: Users are notified if a Project Group or Project is deleted, allowing them to keep track of the current list of active Projects.
  • Title Changes: If the title of a Project Group or Project is changed, users will be informed through notifications, ensuring they are aware of key updates.
  • Checklist Items Added, Updated, or Changed: Notifications are triggered when checklist items are added, edited, or changed within a Project Group or Project.
  • Custom Data Added, Updated, or Changed: If custom data fields are added or updated within a Project Group or Project, users are notified to ensure that all key project details are transparent.
  • Project Created: Notifications are sent when a new Project is created, keeping relevant users informed of new work within their Governance structure.
  • Project Closed or Reopened: Similar to Project Groups, users are notified when a Project is closed or reopened, ensuring the Project status is always clear.
