This video explains how to navigate and manage the Records of Processing Areas and Activities logs, including permissions, moving records and downloads.
From the left-hand menu, click Data Privacy and Protection, then Records of Processing.
Note: New and edited records are logged automatically, each with a reference number beginning with ROP or ROPA that cannot be edited.
Turn on the My Processing Areas toggle (top-right) to see only areas where you are the owner or a member.
Note: This toggle isn't available on the Records of Processing Activity log.
Sort by any column (the default is Ref No.); click the column title again to reverse the order.
Click View to choose which columns to show (at least one must stay selected), then Apply. You can save your custom view.
Tip: Drag and drop columns to reorder them; the order is kept each time you log in, though the View popup won't reflect it.
Use Filter or Search to find records. An orange dot shows active filters; click Clear Filters to reset, or Reset to return to a saved filter.
Understand permissions:
Areas: Owners and Members.
Activities: Owners, Members, Reviewers, Attachment reviewers and Notified users.
Anyone assigned to associated risks, issues, lessons or tasks gets edit access to that activity only – not the area or other activities.
One owner per area or activity; no limit on members or notified users; one reviewer per activity or attachment. Owners can edit and delete; others can only edit.
If a DPIA is linked to an activity, anyone with access to the DPIA can view and edit only that activity.
Move a processing activity to another area directly if you have permission; otherwise click Request to notify the new area's owners and members for approval.
Note: The record is locked for editing while the request is pending.
Choose from five downloads: Record of Processing Area Log, Advanced Area Export, Record of Processing Activity Log, Advanced Export for a specific area, and Full Form Download (via Quick Actions).
Tip: Refine downloads with filters, search, view settings or the toggle; you'll get an in-Platform and email notification when the file is ready.
Use the quick-access functions:
Processing Activities: add a note, add members, move, duplicate, download, close or delete (closing or deleting also affects linked risks, issues, lessons and tasks).
Processing Areas: create process, add new activities (from scratch or via Quickstart templates), add members, close or delete the area.
