We are excited to introduce several updates across various features, enhancing functionality, user experience, and notifications. Key updates include:

  • Updates to the Incident Log with improved layout and notifications.
  • Changes to the Record of Processing fields and Log structure.
  • Enhancements to the DPIA, Project, Task, and Processing Operation Assessments (POA) notifications.
  • Global updates to standardise logs and improve status displays across the Platform.

Incident log updates and enhancements

  • The Incident Title is no longer clickable. This change aligns with other areas of the Platform where the edit button should be used to make changes to an incident.
  • The edit button can be found by hovering over the Incident in the log and moving the cursor to the right hand side of the screen. 
  • This button is next to the three-dot menu of the Incident.
  • The values in the Classification and Reported columns are now left-aligned for improved readability. This allows the classification of Security & Systems to be seen entirely within the columns.
  • Several in-Platform notifications related to Incident Management have been updated.
  • Notifications have been updated for the following actions:
    • Incident Member Removed
    • Incident IT Lead Removed
    • Incident Data Lead Removed
    • Incident Regulatory Authority Informed (Added/Changed)
    • Task Associated, Closed, Reopened, and Deleted
  • The Archive status has been removed from Incident Management, and any records previously marked as Archive have been updated to Closed.
  • The Archive status has been removed from Incident Management, and any records previously marked as Archive have been updated to Closed. This update aligns the status management of Incidents with other features in the Platform, simplifying the handling of records by using a more unified Open and Closed status system.

Records of processing form updates

  • The Records of Processing Activity Form has been updated with the Owner field now being a mandatory field.
  • This update is also incorporated in the associated logs.

Records of processing area and activity log updates

  • The prefix for the reference numbers of Records of Processing Activities and Areas has been amended. 
    • For Records of Processing Areas, the prefix has changed from ROPA to ROP
    • For Records of Processing Activities, the prefix has changed from PRN to ROPA
  • The View icon has now been removed from the Records of Processing Area Log as the functionality of clicking on the area title and clicking on the view icon are the same. This will allow a more streamlined experience for users.
  • In the Records of Processing Activity Log, users were previously able to edit the form by clicking directly on the activity title. 
  • An update has now been made where the title is no longer clickable and aligns with the functionality seen across forms in the Platform. 
  • The edit button should be used to make changes to an Records of Processing Activity. The edit button can be found by hovering over the Activity in the log and moving the cursor to the right hand side of the screen.
  • As seen above, a required dropdown field for Owner has been added to the activity form, leading to these updates:
    • An Owner column has been added to the Records of Processing Activity Log for better tracking of record ownership.
    • Filters on the this Log now include an Owner option, enabling users to filter records by Owner.
    • The view options on the log have been updated to include the Owner field, allowing users to customise the data displayed.
  • Email and In-Platform notifications have been developed for the following scenarios:
    • Record of Processing Area member removed.
    • Next review date changed.
    • Records of Processing Activity created.
    • Records of Processing Activity deleted.

  • The three-dot menu options for DPIAs on the DPIA log have been rearranged.
  • The following DPIA notifications have been updated:
    1. DPIA member removed
    2. DPIA reviewer removed
    3. DPIA approver removed
    4. DPIA screening reviewer removed
    5. DPIA next review date added, and updated
    6. DPIA review date changed (Note - The email notification is also updated for this.)
    7. DPIA approval date added, changed, and updated
    8. DPIA completion date added, and updated
    9. DPIA screening review date added, and updated
    10. DPIA review status added, and updated
    11. DPIA approval status added, and updated

  • The following POA in-Platform notifications have been updated:

Global updates

  • The status column in the Risks & Issues Log, Incident Log, Record of Processing Area Log, Record of Processing Activity Log, DPIA Log, and Vendor Assessment Log no longer has any colour coding for open or closed status types.
  • Updated labels and breadcrumbs for the following logs: Risks & Issues Log, Project Groups Log, Project Log, Tasks Log, Incident Log, Record of Processing Log, DPIA Log, Roles & Responsibilities Log, and Vendor Log.
  • Delete popup messages have been updated for Vendor Assessment and Record of Processing.
  • The My Toggle Button previously filtered data in the Records of Processing Area Log and DPIA Log based on where they are Owner. This has been improved, and now all items for which the logged-in user is an Owner or a Member will be filtered and shown.
