We are excited to introduce several key enhancements to the 9ine Platform, including:

  • Enhancements to the Gantt Chart feature, with the addition of an export option and new filters.
  • Providing the option for three historic years in project and task scheduling.
  • Introduction of additional data points in the Record of Processing and Record of Processing Activity, and both log and advanced download options.

Enhancements to the Gantt Chart feature

  • We have introduced a new Download function in the Gantt Chart, allowing users to export data in either Excel or PDF formats.
  • Users can refine their data before exporting by using the Refresh, Date Range Picker, Filters, and Zoom options. They can navigate through tasks, apply filters, and search for specific criteria to tailor the export results.
  • Upon clicking Download, a loader will appear, followed by a toaster notification: The Gantt Chart has been downloaded once the export is complete.

Note: PDF downloads are limited to 150 records, and Excel downloads are capped at 1,000 records. An info (i) icon informs users of these limits: When downloading the Gantt Chart as a PDF, you can retrieve up to 150 entries, while Excel has a limit of 1,000.

  • We have added a Statusdropdown option in the Gantt Chart filter popup, allowing users to select tasks based on the following statuses:
    • Not Started
    • In Progress
    • On Hold
    • Quality Assurance
    • Closed
  • By default, Closed items are not displayed in the filter.
  • When users navigate from the Tasks Log to the Gantt Chart using the Gantt button, the status filter previously applied in the Tasks Log will seamlessly carry over to the Gantt Chart, ensuring a consistent task-filtering experience across both views.

Scheduling projects and tasks using the Year option

  • We have expanded the year selection options for project and task scheduling. Users will now be able to see three years of historic dates. For example, during the current academic year (2024/2025), the following years will be available:
    • 2021/2022
    • 2022/2023
    • 2023/2024

Record of processing activity log enhancements and download options on RoP and RoPA

  • We have introduced two new columns to the RoPA log and added these data points to the search, filter, and view options:
    • Personal Data: Displays the count of selected categories for Who are the data subjects? from the Processing Description step of the form.
    • Special Category Data: Shows the count of special category data selected during the same step.
  • Clicking on the count in either column reveals a detailed breakdown of the selected categories (e.g., Children under the age of 18, including students or pupils).
  • We have enhanced the download functionality for both the Records of Processing Area (RoP) and Records of Processing Activity (RoPA) logs. Users now have two download options: Advanced Download and Log Download.
    • Advanced Download: exports all data from the selected processing areas and activities, including associated risks, issues, lessons, and tasks from Summary of Activities. The file name RoP advanced download will be: Records of Processing Area Advanced Download and for RoPA it will be: Records of Processing Activity Advanced Download. Both files will be exported in an XLSX format.
    • Log Download: exports all data from the log, excluding hidden items filtered out using My Processing Areas, Filter, or Search. Note: if a user removes two columns via the View option these columns and the associated data will still appear in the exported file.
  • Upon clicking Download, a background process will begin, and a toaster notification will appear once the download is complete. Users will receive both an email and an in-Platform notification when the download is ready. Clicking Download in the email will redirect users to the login page (if not logged in). After logging in, the file will be downloaded to their native file explorer.
